Registration, Cancellation & Substitution

Registration Guidelines

  • Early bird rates apply only when a registration is received before the published early bird deadline.
  • Payment is due no later than the event date to secure admission.
  • By registering for an HCAF event, you agree to these policies. Failure to comply may result in suspension or revocation of future event registration privileges.

Cancellation & Substitution

  • A partial refund or invoice adjustment is available if written cancellation notice is received at least two weeks before the program date.
  • A 20% administrative fee per registrant will be deducted to cover processing costs.
  • No refunds will be issued for:
    • Cancellations received within 10 business days of the event
    • No-shows, unless registration protection was purchased and a claim is approved under the policy terms
  • Registrant substitutions are permitted at no additional cost at any time.

Event Credit

  • At HCAF’s discretion, event credit may be offered in lieu of a refund.
  • No administrative fees apply to event credits.

How to Cancel

  • To cancel a registration, email Julia Thompson at jthompson@homecarefla.org.
  • A confirmation email will be sent once your cancellation is processed.

Optional Registration Protection

HCAF offers optional registration protection through ViCoverage to help safeguard your registration investment.
  • Coverage is available for approximately 7% of your the registration cost, and is added to your invoice if selected at time of purchase.
  • Covered reasons vary by event and policy. Please review your specific policy terms before purchasing.
  • Covered reasons may include, but are not limited to:
    • Injury or accident
    • Serious illness
    • Unsafe weather conditions
    • Travel delays or disruptions
  • Upon purchase, you will receive a confirmation email from ViCoverage with coverage details and claim instructions.
  • Claims are submitted through ViCoverage’s online customer portal at customers.vicoverage.com and require supporting documentation.

If HCAF Cancels the Program

  • A recording will be provided, if available.
  • If no online alternative is feasible, a full refund will be issued.

  • Online: HCAF invoices include a link to pay online. Payments can also be submitted through a member’s Info Hub. Log into your profile at www.HomeCareFLA.org and select “My Billing Info” from the left-hand menu.
