Thank you for participating in HCAF's 31st Annual Conference & Trade Show and for serving the Florida home health industry! The 2020 Trade Show will have 108 exhibitor booth spaces to display your company's products and services. Please click on the Register button above to reserve your exhibitor booth and to select any associated sponsorship and advertising opportunities.

Booth preferences are honored on a first-come, first-served basis. To receive member rates, please login. If you are unsure if your company is a member, please contact HCAF at (850) 222-8967. Booth registration will include access to an attendee list. Lists to be released on July 27, August 7 and August 21.

Agreement Information: By completing this form, you are agreeing to the following eight bullet points. Failure to comply with this agreement will result in a one-year suspension from exhibiting at the following year's trade show.
  • Exhibit during the above noted hours and days. Booths not set up by August 11 at 11:15 a.m. may be reassigned. Exhibits must remain setup until at least 1:00 p.m. on August 12 (set-up and breakdown times currently tentative) Under no circumstances will early breakdown be permitted so please plan your travel accordingly. Should you break down early, you will be suspended from exhibiting at future HCAF events for a period of one year.

  • You will not share your booth space with another vendor.

  • SPACE ASSIGNMENT POLICY: Indicate your top three preferred booth locations above. HCAF will determine exhibitor space assignment. Once space is approved, an exhibit can only be moved with mutual consent of HCAF and the exhibitor.

  • CANCELLATION POLICY: Notification of booth cancellation must be received by HCAF in writing no later than July 26, 2020 in order to cancel your booth without penalty. No cancellation refunds will be made after that date, and all outstanding balances will be due in full. For sponsorship and advertising purchases, payment is due within 30 days of your purchase and no cancellations will be allowed once HCAF has begun advertising your sponsorship or has secured the item you are sponsoring or purchasing. Due to COVID-19, this is a very fluid situation so if needed, please contact HCAF to discuss potential alternative options. 

  • PROTECTION OF EXHIBIT SPACE POLICY: Nothing shall be posted, tacked, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the hotel or convention hall exhibit area without permission of HCAF and a representative of the hotel. Packing, unpacking, and assembly of exhibits shall be done in designated areas and conform to instructions from HCAF or a hotel representative. Due to the layout of the Hotel, storage space is not available for display materials, crates and/or show merchandise. At the conclusion of the set-up operation, all related equipment, crates, trash, etc., must be removed from the premises no later than the last day of the exhibit show period. Exhibit space shall be left in a clean condition upon commencement of your use of the exhibit space.  In the event the exhibit space is not left in a clean condition at free and clear time, you shall be assessed the costs incurred to clean the exhibit space.  Further, you shall be charged the reasonable cost to repair any damage to the exhibit space that occurs during your use of the exhibit space and at the Hotel’s sole discretion. Outside food and beverage is not allowed in the exhibit space and any food and beverage requests must be handled directly with the hotel.

  • DEFAULT OCCUPANCY POLICY: An exhibitor who fails to occupy contracted space is not relieved of the obligation to pay for such space at the full rental price, and HCAF shall have the right to use that space.

  • LIABILITY POLICY: The exhibitor will make no claim of any kind against HCAF or the Omni Resort at ChampionsGate for any loss, damage or destruction of goods, nor for any injury that may occur while participating in the show, nor for any damages of any nature or character whatsoever, unless the injury was caused by the gross negligence of staff of HCAF or the Omni Resort at ChampionsGate. The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the hotel premises and exhibitors shall indemnify and hold harmless hotel and its servicing agents from all liability (damage or accident) which might ensue from any cause resulting or connected with transportation, placing, removal or display of exhibits. The exhibitor agrees to indemnify HCAF for any damage caused to any hotel property as a result of drayage related to your event, whether caused by you, your agents, employees, contractors, or agents. The hotel and HCAF will not be responsible or liable for any loss, damage, or claims arising out of exhibitor’s activities on the hotel’s premises except for any claims, loss, or damages arising directly from the hotel or HCAF’s own negligence. HCAF will be responsible to negotiate the contract with its exhibitors. HCAF will not be providing security personnel to guard the Exhibit Areas.

  • Trade Show floor layout is subject to change.

Please do not be scammed by others out there that are contacting our speakers, exhibitors and sponsors! We do not use third party companies for our guest room reservations. There are scammers out there saying they are with HCAF and can get you a discount. They are NOT really HCAF! HCAF will NOT be calling you to make your reservations. Please do not reserve with them!
